From quote to cash, with every number in one connected system.
Zoho's finance and operations apps cover the back office of a growing business: accounting, invoicing, expenses, inventory and orders, subscriptions and payroll. Because they share data with each other and with Zoho CRM, a quote won by sales becomes an invoice without retyping, stock levels update when an order ships and payments reconcile against the right invoice. This guide maps each app to its job, shows how they work together and suggests where to start.
It is one of the clusters in our Zoho One ecosystem guide. For a video tour of every app, watch our Zoho One 2026 operations and finance apps walkthrough.
Zoho's core finance and operations apps are Zoho Books (accounting), Zoho Invoice (free invoicing), Zoho Expense (expense reports), Zoho Inventory (stock and orders), Zoho Billing (subscriptions and recurring billing) and Zoho Payroll (available in selected countries). They connect to each other and to Zoho CRM, and most are included in Zoho One.

Sales creates and wins a quote in Zoho CRM.
The quote becomes a sales order in Zoho Inventory or Zoho Books, reserving stock.
The order ships and the invoice is created from it, with no retyping.
The customer pays online through a connected payment gateway.
The payment reconciles against the invoice in Zoho Books, and CRM shows the account as paid.
Expenses, payroll and bills post to Books, so profit and cash flow are always current.
Each handoff that would otherwise need an export, an import or a person retyping numbers happens inside the Zoho system.

Most of these apps are included in Zoho One, which bundles Zoho's business apps under one subscription. Each can also be bought on its own: Zoho Invoice is free, and Zoho Books has a free plan for very small businesses with paid plans from $15 per organization per month on annual billing in the US. See the Zoho Books pricing section for detail, and check Zoho's pricing pages for your region.
Agree on the chart of accounts and tax setup with your accountant before entering any transactions.
Choose a go-live date, usually the start of a month or quarter, and prepare opening balances as of that date.
Connect bank feeds and payment gateways early so reconciliation starts clean.
Decide which app owns each record: customers in CRM, items in Inventory, invoices in Books.
Connect apps in order, starting with Books, then Inventory or Billing, then CRM and Expense.
Run a full month-end in the new system before switching off the old one.
Stock-outs in particular cost more than most businesses realize; our article on how Zoho Inventory protects your margins explains why.
A service business moving to Zoho Books with clean opening balances can usually be invoicing within a week or two, including bank feeds, templates and payment gateways. Adding Inventory, Expense or Billing typically takes a few more weeks, depending on the number of items, locations and approval rules. The time goes mostly into decisions and data preparation: the chart of accounts, tax setup and item lists.
Bring your accountant in at the start. Agree on the chart of accounts, tax settings and go-live date with them, give them their own login with the right access, and ask them to review the first month-end in the new system. Accountants who already work with Zoho Books can review your setup quickly; others usually adapt fast because the reports follow standard formats.
Whichever apps you start with, keep the end goal in view: one set of numbers that sales, operations and finance all trust. That is what makes month-end faster, cash flow easier to predict and growth decisions easier to make.
