Sales sees what finance sees, and nobody retypes an invoice.
When Zoho Books and Zoho CRM are connected, sales and finance work from the same customers, products and transactions. Sales reps can see whether a customer has paid before they call, finance can see the deal behind an invoice, and quotes become invoices without anyone retyping them. This guide covers what the integration syncs, how to set it up and the settings that decide whether it runs cleanly. It is part of our Zoho Books guide.
In Zoho Books, open Settings, then Integrations, and choose Zoho CRM. Decide how CRM Accounts and Contacts sync as Books customers, choose one-way or two-way sync, sync vendors and items if needed, then enable transaction modules so quotes, sales orders and invoices from Books appear in CRM under Zoho Finance.
| Zoho CRM | Zoho Books | Notes |
|---|---|---|
| Accounts | Customers (Business type) | The usual choice for B2B companies |
| Contacts | Customers (Individual type) | For businesses selling to individuals |
| Accounts and their contacts | Customers with contact persons | Option to include contacts not linked to an account |
| Vendors | Vendors | Optional |
| Products | Items | Requires the same base currency in both apps |
| Zoho Finance tab | Estimates, sales orders, invoices, purchase orders | Books transactions viewable and creatable from CRM |
You choose the direction for customers and items. With one-way sync, records come from CRM into Books, so CRM stays the master for customer details. With two-way sync, changes in either app update the other: Business customers in Books sync with CRM Accounts, and Individual customers sync with CRM Contacts. Most businesses choose two-way sync for customers so billing details updated by finance reach sales, and decide items case by case.
In Zoho Books, go to Settings, then Integrations, and select Zoho CRM under Zoho Apps.
Connect the Zoho CRM organization you want to sync with.
Choose the customer sync option: Accounts, Contacts, or Accounts and their contacts.
Choose the sync direction and, if needed, a CRM view so only selected records sync.
Decide how duplicates are handled when a record already exists in Books.
Set up vendor and item sync if you need them.
Enable the transaction modules so estimates, sales orders and invoices appear in CRM.
Test with one customer: create a quote in CRM through Zoho Finance, convert it in Books and check both sides.
Zoho's integration help article shows each screen in detail.
| Field | Owned by | Why |
|---|---|---|
| Account owner and sales stage | Zoho CRM | Sales manages relationships |
| Billing address and payment terms | Zoho Books | Finance keeps billing details accurate |
| Tax details | Zoho Books | Must match tax registration |
| Product names and prices | Agreed master, usually Books | One price list for quotes and invoices |
Write this down and share it with both teams. Two-way sync works well only when people know which app to update.
Once transaction modules are enabled, account and deal records in CRM show a Zoho Finance section with that customer's estimates, sales orders and invoices from Books, and their payment status. Sales reps can create estimates and invoices from CRM, and those transactions live in Books. Finance can also set up triggers, such as creating an invoice when a deal is won.
The rep qualifies the deal in Zoho CRM.
The rep creates an estimate from the deal through Zoho Finance, using synced items and prices.
The customer accepts, and the estimate becomes a sales order or invoice in Books.
The customer pays online, and Books records the payment against the invoice.
The rep sees the paid status in CRM and moves on to onboarding or the next sale.
CRM Accounts sync two-way with Books Business customers, using a CRM view that includes only customers, not prospects.
Services are maintained in Books as items and synced one way into CRM products.
Reps create estimates from deals through Zoho Finance, using the synced services and prices.
Accepted estimates become invoices in Books, with recurring invoices for retainers.
Reps see invoice and payment status on each account, and finance sees the deal behind every invoice.
With both apps sharing customers and transactions, you can report on revenue by account owner, outstanding invoices by sales rep and average time from won deal to payment. For deeper dashboards that combine both, connect Zoho Analytics. Our Zoho CRM implementation guide covers setting up reports your team will use.
Reps mostly want three things from the integration: to know whether a customer has unpaid invoices before they call, to send a quote without leaving CRM and to see when a deal turns into revenue. All three come from the Zoho Finance tab once transaction modules are enabled. Walk the team through it in a short session after go-live, and show them where to find invoice status on an account. Adoption is usually quick because it saves them asking finance.
If your business runs more than one Zoho Books organization, such as separate companies or regions, connecting several to one CRM organization needs extra setup. Zoho's Books team can help with this configuration, and it is worth planning before you connect the first organization.
Review the integration settings once a quarter, especially after adding new fields, products or team members. Small changes on one side, such as a new picklist value or a renamed field, can quietly break mapping until someone notices missing data.
In Zoho Books, go to Settings, then Integrations, and select Zoho CRM under Zoho Apps. Choose how customers sync, the sync direction, vendor and item sync, then enable transaction modules.
CRM Accounts and Contacts sync with Books customers, CRM vendors with Books vendors and CRM products with Books items. Books estimates, sales orders, invoices and purchase orders can be viewed and created in CRM through the Zoho Finance tab.
Yes. You can choose two-way sync for customers and items, so changes in either app update the other. Business customers sync with CRM Accounts and Individual customers with CRM Contacts.
Quotes created in Zoho CRM's own Quotes module stay in CRM. To create Books transactions from CRM, use the Zoho Finance tab after enabling transaction modules.
Item sync requires both organizations to use the same base currency. Also check duplicate settings and whether a CRM view is limiting which products sync.
You can, but they do not share data: quotes created in CRM's own Quotes module do not become Books transactions. Most businesses pick Zoho Finance with Books and hide the CRM Quotes and Invoices modules to avoid confusion.
No. The integration works between standalone Zoho Books and Zoho CRM subscriptions. Zoho One includes both apps, which can make it better value if you use several Zoho apps.
Yes. Create a view in Zoho CRM that includes only the accounts or contacts you want, such as customers but not prospects, and select that view in the sync settings.
