Zoho Bookings: A Practical Guide to Online Appointment Scheduling

Let clients book, reschedule and pay without the email back-and-forth.

Zoho Bookings is Zoho's online appointment scheduling app. You publish a booking page with your services and availability, and clients pick a time that suits them, get a confirmation and reminders, and can pay when they book. Appointments land on your calendar and, if you use Zoho CRM, in the right customer record.

This guide covers what Zoho Bookings does, what each plan costs, how it connects to the rest of Zoho One and the setup decisions that make the biggest difference. It sits in the Sales and Customer Management section of our Zoho One ecosystem guide.

Quick answer

Zoho Bookings is appointment scheduling software. Clients book from a branded booking page, calendars stay in sync to prevent double-booking, reminders reduce no-shows and payments can be collected at the time of booking. A free plan covers one staff member, and paid plans cost $6 or $9 per staff member per month on annual billing.

What Zoho Bookings Does

Scheduling by email costs time on both sides: three or four messages to agree a slot, a calendar invite, a reminder, then a chase for payment. Zoho Bookings turns that into one step the client completes on their own.

1

A booking page clients can use

Each service gets a duration, price and availability. Clients see only open slots in their own time zone, choose one and fill in a short form. The page can carry your branding and be embedded on your website or shared as a link in emails.

2

Calendar sync that prevents double-booking

Bookings connects to Google, Outlook, Zoho Calendar and the Zoho CRM calendar. Busy time on a connected calendar blocks the matching slot on the booking page, so a client can never book over another meeting.

3

Reminders that reduce no-shows

Confirmation and reminder messages go out automatically before each appointment, and clients can reschedule or cancel from the link in their email without calling you.

4

Payments at the time of booking

Paid services can require full payment, a deposit or no payment upfront, collected through gateways such as Stripe, PayPal and Razorpay. Our guide to handling paid consultations with Zoho Bookings covers the setup.

5

Teams, resources and group sessions

Bookings can schedule several staff members, assign appointments across a team and book shared resources such as rooms or equipment. Group sessions and workshops are available on the higher plan.

How Zoho Bookings Connects to Zoho CRM and the Rest of Zoho One

The Zoho CRM integration is where Bookings pays off for most of our clients. New booking customers are added to Zoho CRM automatically, appointments sync to the CRM calendar and Meetings module, and sales reps can book from a lead or contact record. Our guide to syncing Zoho Bookings with Zoho CRM walks through the setup and its limits.

  • Zoho Books: take a deposit in Bookings and invoice the balance in Books, with payment details mapped to the matching invoice.
  • Zoho SalesIQ: connect website chat and scheduling so visitors can book a meeting.
  • Zoho Desk: connect support and scheduling so customers can book time with your team.
  • Zoho Flow and Zapier: pass booking and payment data to apps outside Zoho without code.

Zoho Bookings is included in Zoho One. If your team already schedules with Calendly, our Calendly extension for Zoho CRM brings those meetings into CRM instead.

How a Booking Works, Start to Finish

The client opens your booking page from your website, an email signature or a link a rep sent.

They choose a service, then a staff member if you offer a choice, and see only the open slots in their own time zone.

They fill in the booking form, which can include your own qualifying questions.

If the service is paid, they pay in full or leave a deposit on the same page.

Both sides get a confirmation with a calendar invite and, for online meetings, the video link.

Reminders go out before the appointment, and the client can reschedule or cancel from their email.

The appointment and customer details sync to your calendar and, if connected, to Zoho CRM.

Every step after the client clicks the link runs without staff involvement. That is where the time savings come from: the work of agreeing a slot, sending the invite and chasing payment disappears.

Zoho Bookings Pricing

Zoho Bookings is priced per staff member, meaning the people who take appointments. Clients who book do not need an account.

PlanAnnual billing (per staff, per month)Monthly billingTypical fit
Free$0$0One person getting started with a single calendar
Basic$6$8Small teams that need more calendars, branding and integrations
Premium$9$12Teams that need group bookings, custom domain and the full feature set

Zoho lists Zoho CRM sync as a paid feature on the Basic and Premium plans, and adjusts which features sit in which plan from time to time. Check the current Zoho Bookings site before you budget, and remember that Zoho One already includes Bookings.

Zoho Bookings vs Calendly

Calendly is the best-known standalone scheduler, so it is the comparison most teams make. Both handle booking pages, calendar sync and reminders well. The difference is what sits around the scheduling.

If your customer data lives in Zoho, Bookings keeps scheduling in the same system at no extra cost on Zoho One. If your team is committed to Calendly, our Calendly extension for Zoho CRM brings those meetings into CRM instead.

Who Gets the Most Value from Zoho Bookings

  • Consultants, coaches and advisers who sell paid sessions and want payment at the time of booking.
  • Sales teams that book demos and discovery calls and want every meeting tied to a CRM record.
  • Clinics, studios, salons and training providers with fixed services, rooms or equipment to schedule.
  • Businesses already on Zoho One or Zoho CRM that want scheduling in the same system as their customer data.

Setting Up Zoho Bookings: The Decisions That Matter Most

Define services before availability

Decide each service's name, duration, price and who can deliver it, because availability and payments attach to services.

Connect every calendar your staff actually use before the booking page goes live, so existing meetings block their slots from day one.

Set buffers and limits

Add time before and after appointments and cap bookings per day so the schedule stays realistic.

Choose a payment policy per service: full payment, deposit or optional.

Connect Zoho CRM and map the booking form to CRM fields before launch, so every new booking creates a clean record.

Write the confirmation and reminder messages in your own voice, including how to reschedule and your cancellation policy.

Common Zoho Bookings Mistakes

  • Publishing the booking page before connecting every staff calendar, so clients book over existing meetings.
  • No buffer time between appointments, which leaves no room to prepare, travel or write notes.
  • Long booking forms that ask for everything upfront and lose clients halfway through.
  • Paid services with no cancellation policy in the confirmation, which turns every change into a dispute.
  • Bookings that never reach Zoho CRM, so the sales team cannot see who has met with whom.
