Customizing the Zoho Desk Help Center Portal
How to set up and customize the Zoho Desk help center: branding, domain mapping, access settings, knowledge base structure and measuring self-service.
Zoho Desk is Zoho’s help desk software. It turns support requests from email, phone, web forms, social channels and your help center into tickets that sit in one queue, with each customer’s history attached. Teams use it to answer faster, keep the response times they promise and see where support time actually goes. It is included in Zoho One and connects directly to Zoho CRM, so support and sales work from the same customer records.
This guide covers what Zoho Desk does, how it fits with the rest of Zoho One, what each plan costs and the setup decisions that make the biggest difference. It sits in the Sales and Customer Management section of our Zoho One ecosystem guide.
A shared inbox works while volume is low. As it grows, requests get answered twice or not at all, nobody can say how long customers wait, and context lives in individual agents’ heads. Zoho Desk replaces that with a structured ticket system where every request has an owner, a status, a priority and a due time.
Email, phone, web forms, social media and help center submissions all become tickets. Agents work a single queue filtered by department, priority or status instead of watching several inboxes. Live chat and website visitor tracking can be added through Zoho SalesIQ.
Assignment rules route tickets to the right agent or team, workflows update fields and send alerts the moment a ticket changes, and time-based supervisor rules catch tickets that have gone quiet. Our guide to automating ticket workflows in Zoho Desk explains each type and a starter rule set.
SLA policies set due times for first response and resolution by priority or customer type, then escalate tickets to a lead or manager before or after a breach. See Zoho Desk SLA management best practices for a starting structure.
Each Zoho Desk account includes a self-service help center with a searchable knowledge base, ticket submission and ticket status tracking. Customers can rate articles, which shows you which answers need work. Our guide to customizing the Zoho Desk help center portal covers branding, structure and measurement.
Departments let one account run separate support operations for product lines, regions or brands, each with its own channels, SLAs, notifications and knowledge base. With multi-brand help centers, each brand also gets its own customer-facing portal. See setting up multi-brand help desks in Zoho Desk.
The Zoho CRM integration is the main reason Zoho One customers choose Desk over a standalone help desk. Once the two apps are connected, contacts and accounts stay in sync. Agents see CRM details such as the account owner and open deals beside the ticket, and account managers see a customer’s support history in CRM before a renewal or upsell conversation.
Because Zoho Desk is part of Zoho One, businesses already on Zoho One can switch it on without buying a separate license.
Zoho Desk is priced per agent. Agents are the staff who work tickets; customers using the help center do not need a license.
| Plan | Price per agent per month (billed annually) | Agent limit | Typical fit |
|---|---|---|---|
| Free | $0 | Up to 3 agents | Trying the basics with a very small team |
| Express | $7 | Up to 5 agents | Small teams moving off a shared inbox |
| Standard | $14 | Unlimited | Growing teams that need more automation and reporting |
| Professional | $23 | Unlimited | Multi-department teams; the plan Zoho marks as most popular |
| Enterprise | $40 | Unlimited | Larger or multi-brand operations needing the most advanced controls |
Prices are in US dollars. Monthly billing costs more than annual billing, light agents (users who only need to view and comment) are an add-on on most plans, and Zoho adjusts which features sit in which plan from time to time. Check the current Zoho Desk pricing page before you budget, and remember that Zoho One already includes Desk.
Teams handling a handful of requests a week can often manage with Zoho CRM email and a shared inbox for a while. Desk pays off once volume, team size or promised response times make tracking by hand unreliable.
These short videos show the features covered in this guide. The first is an ABR walkthrough of Zoho Desk automation; the other two are Zoho’s own videos on a customer switching to Desk and on the Desk and CRM integration. Screens may look slightly different in today’s version of Zoho Desk.
