Every booking lands in your CRM with the right record attached.
Connecting Zoho Bookings to Zoho CRM means every appointment lands in your CRM with the right customer attached. New clients become CRM records, appointments appear in the CRM calendar and sales reps can book meetings from a lead or contact. This guide covers what syncs, how to set it up, how to book from inside CRM and the one limit most teams discover too late. It is part of our Zoho Bookings guide.
In Zoho Bookings, open Integrations and connect Zoho CRM, choose the CRM module for new customers, map the form fields and connect the CRM calendar. Then install the Zoho Bookings for Zoho CRM plugin to book from Leads and Contacts. By default the sync runs one way, from Bookings to CRM.
| Data | Direction | Where it appears |
|---|---|---|
| New booking customers | Bookings to CRM | Any CRM module you choose, such as Leads or Contacts |
| Appointments | Bookings to CRM | CRM calendar and the Meetings module |
| Existing CRM customers | CRM to Bookings | Available to pick when staff add an appointment in Bookings |
| CRM calendar events | CRM to Bookings | Block the matching time slots on the booking page |
Customers synced while the integration was active stay in CRM if you later disable it. New bookings after that point are not synced.
Field mapping decides what your sales team will see in CRM after every booking, so plan it on paper before you click Connect. A simple planning table:
| Booking form question | CRM field | Why it matters |
|---|---|---|
| Name, email, phone | Standard contact fields | Creates or matches the right record |
| Company name | Company or Account Name | Links the booking to the right account |
| What would you like to discuss? | Description or a custom field | Gives the rep context before the call |
| How did you hear about us? | Lead Source | Shows which channels bring in bookings |
| Service booked | A custom field on the record | Lets you report on demand by service |
Create any custom CRM fields you need before connecting, so they appear in the mapping screen. Keep the booking form short: every extra question lowers the number of people who finish booking.
In Zoho Bookings, open Integrations and choose Zoho CRM under CRM and Sales, then connect and authorize your CRM account.
Choose the CRM module where new booking customers should be created.
Map every custom question you ask on the booking form, or the answers stay in Bookings only.
Map the appointment details you want in CRM, such as service, staff member and appointment time.
Connect the Zoho CRM calendar so appointments appear there and CRM events block time on the booking page.
Make a test booking with a new email address and confirm the record, meeting and field values in CRM before going live.
Zoho's integration help article shows each screen in detail.
Install the Zoho Bookings for Zoho CRM plugin from the Zoho Marketplace. It adds a booking option to Lead and Contact records, so a rep can open the right booking page with the customer already selected, or email the booking link straight from the record. Booked appointments appear in the Meetings module. Zoho's plugin guide covers installation.
This is the limit to plan for. The standard integration sends changes from Bookings to CRM: appointments booked, rescheduled or cancelled in Bookings update in CRM. Changes made to those meetings inside CRM do not flow back to Bookings.
Zoho has published a two-way sync approach that uses CRM workflows and custom functions calling the Bookings API. It requires a Zoho Bookings Premium subscription and a paid Zoho CRM edition. The functions are written in Deluge; our Zoho Deluge guide explains the language.
A software company selling to small businesses might connect Bookings and CRM like this:
A Product Demo service in Bookings, shared across the sales team so appointments are spread between reps.
The booking page embedded on the website's pricing page and linked from every sales email signature.
New bookings create Leads in CRM, with the lead source set to Website demo and the main question mapped to the description.
The meeting appears in the rep's CRM calendar and the Meetings module with the lead attached.
A CRM workflow creates a preparation task for the lead owner as soon as the meeting is booked.
After the demo, the rep converts the lead and moves the deal to the next stage.
The rep never retypes contact details, the manager can see every booked demo in CRM, and marketing can report on how many demos each channel produced.
Once bookings reach CRM, standard CRM workflow rules can act on them. Useful examples:
Because appointments land in the CRM Meetings module and customer records carry the booking details you mapped, standard CRM reports can answer questions the booking app alone cannot:
Build these as CRM reports and add them to a sales dashboard, or combine them with other data in Zoho Analytics. Our Zoho CRM implementation guide covers setting up reporting that the team will actually use.
Book as a brand-new client and confirm a new record appears in the right CRM module with every mapped field filled in.
Book as an existing CRM contact and confirm no duplicate is created.
Reschedule and cancel the test booking in Bookings and confirm CRM updates each time.
Book from inside CRM using the plugin and confirm the meeting appears in the Meetings module.
Check that a CRM calendar event blocks the matching slot on the booking page.
Yes, once an admin connects the integration. New booking customers are created in the CRM module you choose and appointments sync to the CRM calendar and Meetings module.
Not by default. Changes in Bookings update CRM, but changes made to those meetings in CRM do not flow back. Zoho documents a two-way approach using custom functions, which requires Bookings Premium and a paid CRM edition.
Yes. The Zoho Bookings for Zoho CRM plugin lets users book from Lead and Contact records or email a booking link from the record. The user must also be part of the CRM organization.
Zoho lists Zoho CRM sync as a paid feature included in the Basic and Premium plans. Two-way sync using custom functions requires Premium.
Customers already synced to Zoho CRM stay there. Appointments booked for new customers after the integration is disabled are no longer synced, so reconnect it before relying on CRM data again.
