Zoho Writer is Zoho’s online word processor, free with a Zoho account and included in Workplace and Zoho One. Beyond writing and co-editing documents, its distinguishing features are document automation: templates merged with Zoho CRM, Books or form data, fillable documents, e-signature through Zoho Sign, and workflows that generate contracts, proposals and letters automatically. It opens and exports Word and PDF, works offline, and runs on web, desktop and mobile.

Most people meet Zoho Writer as a Google Docs alternative and leave it there. The feature that matters to a business is document automation: a proposal template that fills itself from a deal in Zoho CRM, routes for approval, goes out for signature through Zoho Sign and files itself on the record. Writer does that without code. This hub covers the editor, the automation, and when Word is still the right tool. It belongs to the Team Collaboration & Projects cluster.

What Zoho Writer Does

  • A distraction-free editor with styles, tables, images, footnotes and comments.
  • Real-time co-editing with track changes, suggestions and version history.
  • Templates with merge fields from Zoho CRM, Books, Forms and spreadsheets.
  • Mail merge: one template, hundreds of personalised documents, delivered by email or stored in WorkDrive.
  • Fillable documents with form fields and submission tracking.
  • E-signature through Zoho Sign, with signing workflows.
  • Zia writing assistant for grammar, readability and tone.
  • Import and export of Word, PDF, HTML and ePub; offline editing on desktop and mobile.
  • Publishing to the web and embedding.

Document Automation From CRM

  1. Build the proposal or agreement as a Writer template, with merge fields for the account, contact, deal value and line items.
  2. Add conditions so sections appear only when they apply, such as a maintenance clause for maintenance deals.
  3. Set the output: a PDF attached to the deal, an email to the contact, or a signature request.
  4. Trigger it from CRM: a button on the deal, a workflow at a stage, or a Zoho Flow action.
  5. Store the generated document in WorkDrive or on the CRM record, and log the send.

A sales team that generates proposals this way removes the copy-and-paste errors that embarrass them, and the manager can change a clause once for every proposal that follows.

Fillable Documents and Forms

Fillable documents turn a Writer document into a form someone completes online: intake questionnaires, applications, onboarding paperwork. Responses are collected in a sheet or sent to a workflow, and the completed document can be signed. For structured data capture, Zoho Forms is the better tool; for a document that must look like a document, fillable Writer files are.

Collaboration Features Worth Knowing

  • Suggestion mode for reviewers who should not edit directly.
  • Document locking for final versions.
  • Comments with mentions that notify in Cliq and Mail.
  • Version history with named versions and restore.
  • Sharing with view, comment or edit rights, and expiry for external links.

Common Mistakes

  • Rebuilding every proposal from the last one instead of a merge template.
  • Sending Word files for signature when Writer can route to Zoho Sign.
  • Sharing edit rights with clients who only need to comment.
  • Ignoring the Word export settings and surprising a client with a Writer link they cannot open.

Templates Worth Building First

Service agreementZoho CRM deal plus clause conditionsZoho Sign request
Welcome letterZoho CRM contactEmail on deal won
Invoice cover letterZoho Books invoicePDF attached to the invoice email

Publishing and Sharing

Writer documents can be published as web pages, embedded in a site, exported as PDF or ePub, or shared by link with view, comment or edit rights and expiry dates. For client-facing documents the usual choice is a PDF export attached to the CRM record and an email, so the client has a file and the business has a record.

Getting Started With Automation

  1. Take the proposal you sent most recently and mark every value that came from CRM.
  2. Rebuild it as a template with those values as merge fields.
  3. Add one condition for a section that only sometimes applies.
  4. Run a merge from a real deal and compare it with the original.
  5. Add the signature step and the CRM button, then retire the old copy-and-paste file.

Writer for Different Teams

FinanceStatements and letters merged from Zoho Books
HROffer letters and policies merged from Zoho People, acknowledged by signature

OperationsFillable checklists and intake documents

Security and Control

Documents live in WorkDrive, so WorkDrive’s permissions, audit trail, retention and data residency apply. Merge templates can be restricted to editors who understand them, and generated documents inherit the record’s access in CRM. Signed documents through Zoho Sign carry audit certificates for disputes.

Accessibility and Languages

Writer supports right-to-left scripts, spell check in many languages, translation of selected text, and accessible document structure with headings and alt text, which matters for public-sector and large-client work. Zia’s readability scores help teams writing for customers whose first language is not English.

Getting Started

  1. Open Writer from Zoho One or sign up free, and import the document you edit most often.
  2. Share it with one colleague in suggestion mode and review the changes together.
  3. Rebuild one proposal as a merge template connected to Zoho CRM.
  4. Add the signature step through Zoho Sign and send a real one.
