Zoho Sign lets you send documents for legally binding electronic signature, with templates, signing order, reminders, in-person signing, bulk send and a full audit trail. A free plan covers 1 user and 5 envelopes a month, and paid plans cost $10, $16 or $22 per user per month billed annually, with unlimited envelopes from the Professional plan.

Zoho Sign is Zoho’s electronic signature app. You upload a document, place signature and form fields, add recipients and send it; recipients sign from any device without needing an account, and you get a completed, tamper-evident PDF with a full audit trail. Templates, bulk sending and integrations with Zoho CRM and other apps turn one-off signing into a repeatable workflow.

This guide covers what Zoho Sign does, what each plan costs, how it connects to the rest of Zoho and the setup decisions that matter most. It sits in the Finance & Operations section of our Zoho One ecosystem guide. For the story of moving from paper to e-signatures, see Zoho Sign: from printing nightmares to e-signatures.

What Zoho Sign Does

Send documents for signature

Upload a PDF or Word document, drag signature, date, text and checkbox fields onto it, add one or more recipients and set the signing order. Recipients get an email, or on paid plans an SMS or WhatsApp message, and sign without creating an account.

Templates for repeat documents

Save frequently used documents, such as service agreements, NDAs or onboarding forms, as templates with fields already placed, so sending takes seconds.

Bulk send and sign forms

Send the same document to many recipients at once, each receiving their own copy, which suits policy acknowledgements and annual renewals. Higher plans also let you publish sign forms that people can complete and sign from a link.

In-person signing

Hand a tablet to a customer at a counter or on site and have them sign on the spot, with the same audit trail.

Audit trail and security

Every action is recorded: when the document was sent, viewed and signed, from which device and location. Completed documents are sealed so any change after signing is detectable.

Reminders and expiry

Automatic reminders chase unsigned documents, and expiry dates stop old offers from being signed after the deadline.

Are Zoho Sign Signatures Legally Binding?

Electronic signatures are legally recognized for most business documents in many countries, including under the ESIGN Act and UETA in the United States and comparable laws in Canada, the UK and the EU. Zoho Sign supports this with signer authentication options, an audit trail and tamper-evident sealing. Some documents, such as certain wills, court filings or property deeds in some jurisdictions, still need wet signatures or specific procedures, so check with your legal adviser for those cases.

How Zoho Sign Connects to Zoho CRM and Other Apps

  • Zoho CRM: send quotes, contracts and agreements for signature from deal or contact records, and track status in CRM.
  • Zoho Forms: collect information through a form, then send it as a document for signature.
  • Zoho Writer: create documents and merge templates, then route them to Zoho Sign.
  • Zoho Books and other apps: send estimates and agreements for signature as part of a sales or onboarding workflow.

Zoho Sign is included in Zoho One. If your team uses PandaDoc for proposals, see our guide to the Zoho CRM PandaDoc integration for comparison.

Monthly billing costs more. A separate pay-per-use API plan suits apps that send documents programmatically, and envelopes sent through the API or third-party apps consume Zoho Sign credits. A 14-day free trial gives access to the Enterprise plan, with documents watermarked until you choose a plan. Check the current Zoho Sign pricing page, and remember that Zoho One includes Sign.

Credits and the API

Documents sent from Zoho Sign’s own interface count against your plan’s envelope allowance. Envelopes sent through the API or from third-party apps use Zoho Sign credits instead, which are bought separately; the Enterprise plan includes complimentary credits each month. If you plan to send documents automatically from your own systems, budget for credits or consider the pay-per-use API plan.

Who Gets the Most Value from Zoho Sign

  • Service businesses sending proposals, contracts and statements of work.
  • HR teams handling offer letters, policies and onboarding forms.
  • Sales teams that want deals signed from Zoho CRM without leaving the record.
  • Any business using Zoho One that wants e-signatures without another subscription.

Zoho Sign vs Other E-Signature Tools

The best-known alternative is DocuSign, which has a very broad integration catalog but costs considerably more and limits envelopes on its team plans. Zoho Sign’s advantages are lower prices, generous or unlimited envelopes on paid plans and native connections to Zoho CRM, Forms and Writer. Our Zoho Sign vs DocuSign comparison covers the details.

Setting Up Zoho Sign: The Decisions That Matter Most

  1. List the documents you send most often and turn each into a template first.
  2. Add your branding so signers recognize your business on every email and page.
  3. Decide signer authentication for sensitive documents, such as an access code or SMS verification.
  4. Set default reminders and expiry dates.
  5. Connect Zoho CRM so sales can send from records and see status there.
  6. Agree where completed documents are stored and who can access them.

How Long Setup Takes

Most businesses can be sending their first documents with Zoho Sign within a day. Turning the five or ten most common documents into templates, adding branding and connecting Zoho CRM often takes a few more days. The time is mostly spent agreeing on wording and field placement, not on the software.

Common Zoho Sign Mistakes

  • Uploading the same document from scratch every time instead of using templates.
  • No reminders, so contracts sit unsigned for weeks.
  • Choosing the Standard plan without checking the 25 envelopes per user monthly limit.
  • Using e-signatures for documents that legally require a wet signature in your jurisdiction.
