Projects, conversations, files and meetings in one connected workspace.
Zoho's collaboration and project apps cover the daily work of a team: planning projects and tracking tasks, running agile sprints, chatting, email, sharing files and meeting online. Because they share users and connect to each other, a task can link to the files and conversations behind it, a client meeting can be booked from a project and a chat can turn into a task without copying anything.
This guide maps each app to the job it does, shows how they fit together and suggests where to start. It is one of the clusters in our Zoho One ecosystem guide.
Zoho's core collaboration and project apps are Zoho Projects (project management), Zoho Sprints (agile development), Zoho Cliq (team chat), Zoho Mail (business email), Zoho WorkDrive (shared files) and Zoho Meeting (online meetings and webinars). They share users and connect to each other, and they are included in Zoho One.

Channels, direct messages, calls and bots, with notifications from other Zoho apps. See Zoho Cliq: more than just messaging.
Ad-free business email on your own domain, with calendar, contacts and admin controls. See Zoho Mail features that power productivity.
Team folders, file sharing and version history, with Zoho's online documents, spreadsheets and presentations built in.
Video meetings and webinars with registration, recordings and reports. See our guide to scheduling a webinar in Zoho Meeting.
A new client project is created in Zoho Projects from a template, with tasks, milestones and owners.
Project files live in a linked WorkDrive folder, so everyone works on the latest version.
The team discusses work in a Cliq channel for the project, with task updates posted automatically.
Client calls are scheduled in Zoho Meeting, and the recording is stored with the project.
Time logged on tasks feeds timesheets, which can be billed through Zoho Books.
Each step uses the same users and the same records, so nobody hunts through separate tools for the latest status or file.

These apps are included in Zoho One. Each can also be bought on its own: Zoho Projects, for example, has a free plan for small teams and paid plans from $4 per user per month on annual billing. Zoho also bundles Mail, WorkDrive, Cliq and its office apps as Zoho Workplace. Check Zoho's pricing pages for your region, and see our Zoho Projects guide for project management costs.
Decide which app owns each kind of work: tasks in Projects, conversations in Cliq, files in WorkDrive.
Create project and folder templates so every new project starts the same way.
Set up Cliq channels by team and by project, and connect app notifications to them.
Agree naming conventions for projects, folders and channels before the team starts creating them.
Plan the switch from old tools with a cut-over date, and archive the old tools afterward.
Running collaboration in one suite also simplifies administration. Users are added and removed once in the Zoho admin console, with access to each app controlled centrally, so a departing employee loses access everywhere at the same time. Single sign-on, two-factor authentication and audit logs help keep client and company information secure, and data retention settings help with compliance.
Start with one team or department as a pilot for two to four weeks.
Set up templates, channels and folders before inviting the wider team.
Run short training sessions focused on the five things each person does daily.
Pick a cut-over date for each old tool and archive it afterward.
Collect feedback after the first month and adjust templates and channels.
A small team can move projects, chat and files into Zoho within two to four weeks, including templates, migration of active projects and training. Email migration adds time if mailboxes need moving from another provider. The biggest factor is adoption: plan a clear cut-over date and short training sessions so the team stops using the old tools.
The common thread in successful rollouts is ownership: one person responsible for templates, channels and folder structure, and a clear answer to where each kind of work lives. With that in place, the apps reinforce each other instead of becoming one more set of places to check.
Start with the guide for the app your team needs first, then add the others as each one settles into daily use.
