Setting Up Zoho Mail for Your Business

From domain verification to the first email, without losing a single message.

Setting up business email is mostly a one-time job, but mistakes are costly: a wrong DNS record can bounce incoming mail, and missing authentication records send your emails to spam. This guide walks through setting up Zoho Mail in the right order, from choosing a plan and verifying your domain to migrating old email and locking down security. Follow the steps in sequence and keep your old email service running until the last step. It is part of our Zoho Mail guide.

Quick answer

Choose a plan, verify your domain in the Zoho Mail admin console with a TXT or CNAME record, create users, aliases and groups, migrate existing mail, then update your MX records to Zoho and add SPF, DKIM and DMARC records. Finally set up desktop and mobile apps and security policies, and keep the old service until everything is confirmed.

Before You Start

  • Access to your domain's DNS settings at your registrar or DNS host.
  • A list of users, aliases and group addresses you need, such as sales@ and info@.
  • Admin access to your current email service, for migration.
  • A quiet time for the MX switch, such as an evening or weekend.

Step 1: Choose the Right Plan

PlanBest for
Forever FreeUp to 5 users who only need web and mobile access
Mail LiteMost staff who need Outlook or Apple Mail support and modest storage
Mail PremiumUsers who need large storage, retention and eDiscovery
Workplace Standard or ProfessionalTeams that also want chat, files, meetings and office apps

You can mix plans across users, so not everyone needs the most expensive option.

Step 2: Add and Verify Your Domain

Sign up with your domain, then prove you own it by adding the TXT or CNAME record that the Zoho Mail admin console shows you at your DNS host. Verification usually completes within minutes, though DNS changes can take longer to spread. Your current email keeps working during this step, because verification does not change where mail is delivered.

Step 3: Create Users, Aliases and Groups

Add each user with their email address and assign their plan.

Add aliases for users who receive mail at more than one address.

Create group addresses for shared roles such as sales, support or accounts, and add members.

Decide whether group mail is delivered to members' inboxes or handled in a shared mailbox.

Creating every address before switching MX records is the single most important step for avoiding bounced email.

Step 4: Migrate Existing Email

Zoho Mail includes migration tools for common sources such as Google Workspace, Microsoft 365, Exchange and other IMAP servers. Connect your old service, choose the mailboxes to migrate and let the copy run. Migrate contacts and calendars too. Large mailboxes can take time, so start migration a few days before the MX switch and run a final pass afterward to catch recent messages.

Step 5: Update Your MX Records

MX records tell the internet where to deliver your email. In your DNS settings, remove the old provider's MX records and add the Zoho Mail MX records shown in your admin console, with the priorities listed there. Zoho's values differ by data center region, so always copy them from the console. Once the change spreads, new email arrives in Zoho Mail.

Step 6: Add SPF, DKIM and DMARC

RecordWhat it doesWhere to get it
SPF (TXT)Lists the servers allowed to send email for your domainZoho Mail admin console; merge with any existing SPF record
DKIM (TXT)Signs your emails so receivers can verify themGenerate the key in the Zoho Mail admin console
DMARC (TXT)Tells receivers what to do with mail that fails checks, and sends you reportsCreate your own policy, starting with monitoring

Only one SPF record is allowed per domain, so if other services send email for you, such as Zoho Campaigns or your website, include them in the same record. Start DMARC in monitoring mode, review reports for a few weeks, then tighten it.

Step 7: Set Up Desktop and Mobile Apps

On paid plans, users can connect Outlook, Apple Mail or other clients using IMAP or ActiveSync, with the settings shown in Zoho Mail. Install the Zoho Mail mobile app on phones for push notifications and calendar access. On the free plan, users work in the web and mobile apps.

Step 8: Configure Security and Policies

  • Turn on two-factor authentication for all users, starting with admins.
  • Set password and session policies in the admin console.
  • Configure spam and quarantine settings, and allowed or blocked senders.
  • Set retention policies if you need to keep email for compliance, on plans that support it.
  • Review admin roles so only the right people can change settings.

Testing After the Switch

Send an email from an outside account, such as a personal Gmail, to a new Zoho mailbox.

Reply from Zoho Mail and check it arrives in the outside inbox, not spam.

Send a test message to a mail tester service to confirm SPF, DKIM and DMARC pass.

Email each group address and confirm every member receives it.

Check that users can send and receive from their phones and desktop clients.

Training Your Team

A short session on day one prevents most support questions: where to find migrated email, how to set up the mobile app, how to use folders and filters, how to share an email with colleagues in Streams and where calendar and contacts live. Share a one-page guide with the client settings for anyone using Outlook or Apple Mail.

Go-Live Checklist

  • Domain verified and every user, alias and group created.
  • Migration completed, with a final pass scheduled after the switch.
  • MX records updated and test emails received from an outside address.
  • SPF, DKIM and DMARC added and passing in a test message.
  • Desktop and mobile apps set up for every user.
  • Old service kept for at least a few weeks, then cancelled once everything is confirmed.

Moving From a Specific Provider

From Google Workspace or Microsoft 365, use Zoho Mail's built-in migration for those services, which copies email directly between accounts. From a web host's email or another IMAP server, use IMAP migration with each mailbox's server details. In every case, migrate a test mailbox first to check folders and dates come across as expected.

Connecting Zoho Mail to Your Other Apps

Once email is running, connect Zoho Mail to Zoho CRM so conversations link to leads and deals, to Zoho Cliq for discussing emails and to Zoho WorkDrive for sharing files. Teams that send marketing email should set up Zoho Campaigns with its own domain authentication, so newsletters do not affect your everyday email reputation.

Common Setup Mistakes

  • Switching MX records before creating every user and group address.
  • Adding a second SPF record instead of merging into one.
  • Copying MX values from a blog post instead of your own admin console.
  • Cancelling the old service before migration is complete.
  • Leaving two-factor authentication off for admin accounts.

Frequently Asked Questions

How do I set up Zoho Mail with my domain?

Sign up with your domain, verify it with the TXT or CNAME record shown in the admin console, create users and groups, then update your MX records to Zoho and add SPF, DKIM and DMARC records.

How long does it take to set up Zoho Mail?

Domain verification and user setup can be done in an hour. Migration depends on mailbox size, and DNS changes can take a few hours to spread, so plan the switch over a day or two.

Will I lose email when switching to Zoho Mail?

Not if you create every address first, migrate existing email, switch MX records and run a final migration pass. Keep the old service until everything is confirmed.

What DNS records does Zoho Mail need?

A verification record (TXT or CNAME), MX records for delivery, and SPF, DKIM and DMARC records for email authentication. Copy the exact values from your Zoho Mail admin console.

Can I use Outlook with Zoho Mail?

Yes, on paid plans. Connect Outlook using IMAP or ActiveSync with the settings shown in Zoho Mail. The free plan supports web and mobile apps only.

Can I keep my old email provider during setup?

Yes. Your current email keeps working until you change MX records. Keep the old service for a few weeks after the switch so you can complete migration and check nothing was missed.

Do I need a paid plan to migrate email to Zoho Mail?

Migration tools are available to Zoho Mail organizations, but desktop client access through IMAP or ActiveSync requires a paid plan. Check the current plan details for migration limits on the free plan.
