Zoho WorkDrive: Team File Management Guide
How to manage team files in Zoho WorkDrive: Team Folders and roles, sharing, desktop sync, version history, security, pricing and moving from Google Drive.
The problem with most file storage is ownership: documents live in personal drives, people leave, and the files go with them. Zoho WorkDrive starts from Team Folders that the organisation owns, with people given roles inside them. That one design choice fixes the leaver problem, the permission sprawl and the “which version is current” question. Our Zoho WorkDrive guide covers setup in detail; this hub is the overview with pricing and the decisions that matter. It belongs to the Team Collaboration & Projects cluster.
| Plan | Price (per user per month, billed annually) | Storage and highlights |
|---|---|---|
| Starter | About $2.50 (about $3 monthly) | 1 TB per team to start, plus 100 GB per new user; core sharing and sync |
| Team | About $4.50 (about $6 monthly) | 3 TB per team to start; advanced sharing controls, more admin features |
| Business | About $9 (about $11 monthly) | 5 TB per team to start; retention, advanced security and admin controls |
| Enterprise | Contact Zoho | For organisations above 200 users |
Plans have a 3-user minimum and extra storage is sold in blocks. Confirm current figures on the official Zoho WorkDrive pricing page; WorkDrive is included in Zoho One.
Pricing checked October 2026. These are Zoho’s published rates at the time of writing. They change over time, vary by region and currency, and may differ inside Zoho One, so confirm the current figures on the official pricing page linked above before you decide.
| App | What flows |
|---|---|
| Zoho Projects | Project files in dedicated folders |
| Zoho CRM | Documents attached to records stored in WorkDrive |
| Zoho Mail and Cliq | Share and attach from WorkDrive without downloading |
| Zoho Sign | Documents sent for signature straight from a folder |
| Zoho Writer, Sheet, Show | Native editing with co-authoring |
Encryption at rest and in transit, two-factor authentication, role-based access, link expiry, download restrictions, device management and a full audit trail cover most small and mid-sized business requirements. Business plans add retention policies and advanced admin controls. Data residency follows your Zoho data centre region, which matters for Canadian and European clients.
Google Drive and Dropbox are stronger as personal tools with team features added; SharePoint is deeper but heavier. WorkDrive’s design is team-first, it is cheaper per user than most, and it is where every other Zoho app stores files. For a business on Zoho One it is included, which usually settles the question.
| Role | Can |
|---|---|
| Admin | Manage the team, settings, billing and every folder |
| Organiser | Manage a Team Folder: members, structure and sharing rules |
| Editor | Create, edit, move and share within permissions |
| Commenter | View and comment, no edits |
| Viewer | View only |
Many teams keep Word and Excel habits. WorkDrive previews and edits Office formats, converts them to Writer and Sheet for co-authoring when you want it, and keeps the original format for exports. The practical setting is to decide per folder: contracts stay in Word for the lawyers, internal documents move to Writer for commenting and versioning. TrueSync lets people open any file in its desktop application as before.
Storage by team folder shows where growth is; the audit trail shows external shares created and files downloaded by outside users; inactive members shows licences to reclaim. Ten minutes a month on these three reports keeps the workspace tidy and the licence bill honest.
| Business | Why it fits |
|---|---|
| Agencies and consultancies | Client folders with controlled external sharing |
| Professional services with compliance needs | Retention, audit trail and data residency |
| Teams replacing personal cloud drives | Organisation-owned folders end the leaver problem |
| Zoho One customers | Included, and the storage every other Zoho app uses |
