For North American businesses, the US and Canadian editions are the ones that matter. The US edition supports multi-state payroll across all 50 states, which helps companies with remote employees in several states. The Canadian edition handles Canadian payroll and remittances. In both, employee self-service gives staff access to payslips and tax forms, and the connection to Zoho Books keeps accounting current after every run.
Payroll data is among the most sensitive in any business. Limit payroll access to a small group, use roles so managers see only what they need, and turn on two-factor authentication for everyone with payroll permissions. Keep an audit trail of changes to pay components and employee pay details.
Involve your accountant early. They can confirm pay components, deductions and tax settings before the first run, and review the parallel payroll results. A short review now prevents corrections and amended filings later.
Confirm Zoho Payroll covers your country and any state or province you pay employees in.
Set up your company's tax registrations and pay schedules.
Define pay components and deductions with your accountant.
Import employees with accurate pay, tax and bank details, or sync them from Zoho People.
Connect Zoho Books so payroll entries post automatically.
Run at least one payroll in parallel with your current method and compare results.
Switching payroll mid-year needs care, because year-to-date totals affect taxes and year-end forms. The cleanest point to switch is the start of a tax year or quarter. Export year-to-date figures from your current provider, import them, then run a parallel payroll and compare every employee's net pay before going live.
A small company can be ready for its first parallel payroll within one to two weeks, once tax registrations, pay components and employee data are confirmed. Plan at least one parallel run before going live, ideally timed for the start of a quarter or tax year.
If any answer raises doubts, talk to your accountant or a Zoho partner before committing, because payroll is the one process where errors reach every employee's bank account.
