Zoho Invoice is Zoho’s free invoicing app: branded invoices and estimates, recurring invoices, online payment links through major gateways, automatic reminders, time and expense tracking, a client portal and basic reports. It is free with no user or invoice limits, which makes it the usual starting point for freelancers and very small businesses. When you need full accounting, bank feeds and tax returns, the same data moves into Zoho Books.

Getting paid should not require accounting software. Zoho Invoice is the free app for the businesses that just need to send a professional invoice, take a card payment and chase it when it is late. It is genuinely free, with no invoice limits and no trial that expires, and when a business grows into needing bank reconciliation and tax filing, its customers and invoices move into Zoho Books without re-entry. It belongs to the Finance & Operations cluster.

What Zoho Invoice Does

  • Estimates and quotes that convert to invoices on acceptance.
  • Branded invoice templates, multi-currency and multi-language.
  • Recurring invoices for retainers and subscriptions.
  • Online payments through Stripe, PayPal, Zoho Payments and other gateways, with a Pay Now link on every invoice.
  • Automatic payment reminders and thank-you notes.
  • Time tracking and billable expenses added to invoices.
  • A client portal where customers see, approve and pay.
  • Reports: sales, receivables, payments and tax summaries.
  • Mobile apps for invoicing from anywhere.

Zoho Invoice Pricing

PlanPriceLimits
Free$0Unlimited invoices, customers and users; payment gateway fees apply separately

There is no paid tier. Zoho offers Invoice free because the natural upgrade is Zoho Books, which adds accounting. Payment gateways charge their own transaction fees. See the official Zoho Invoice page for current terms.

Pricing checked October 2026. These are Zoho’s published rates at the time of writing. They change over time, vary by region and currency, and may differ inside Zoho One, so confirm the current figures on the official pricing page linked above before you decide.

Invoice or Books?

Stay on Zoho Invoice whenMove to Zoho Books when
You only need to invoice and get paidYou need bank feeds, reconciliation and a general ledger
Your accountant works from exportsYou file sales tax, VAT or GST from the system
You have no inventory or bills to manageYou track bills, purchase orders or stock
You are a freelancer or a very small teamYou have staff, projects and budgets to manage

The move is a migration inside Zoho: customers, items, invoices and payments carry across. Most businesses make it when the accountant asks for more than a sales report.

Getting Paid Faster

  1. Add a payment gateway so every invoice carries a Pay Now link.
  2. Set payment terms to 14 days or less where your market allows it.
  3. Turn on reminders at due date, plus 7 and plus 14 days, in a polite but firm tone.
  4. Offer the client portal so customers can find and pay invoices without emailing you.
  5. Use recurring invoices for retainers so nothing depends on remembering.
  6. Review the receivables ageing report every Monday.

Time and Expenses on Invoices

Consultants and agencies bill time; Zoho Invoice tracks it against projects with a timer or weekly timesheet, and pulls unbilled hours onto the next invoice. Expenses incurred for a client are logged with the receipt and marked billable, then added at cost or with a markup. The invoice shows the detail the client expects without a separate spreadsheet.

Setting Up in an Afternoon

  • Add your logo, address, tax details and invoice numbering.
  • Create your items or services with default rates and tax.
  • Connect a payment gateway and test with a small invoice to yourself.
  • Set reminder schedules and email templates.
  • Import customers from a spreadsheet or your CRM.
  • Send the first real invoice from the mobile app.

Where Invoice Connects

AppWhat flows
Zoho CRMCustomers and deals that become invoices
Zoho BooksEverything, when you upgrade
Zoho ProjectsTime and expenses for billing
Payment gatewaysCard and bank payments with automatic reconciliation to the invoice

Common Mistakes

  • Sending invoices without a payment link, then wondering why they take 45 days.
  • No reminders, so chasing depends on memory.
  • Numbering gaps from deleting invoices rather than voiding them.
  • Staying on Invoice after the business needs real accounting, and reconstructing the books later.

Estimates That Turn Into Work

An estimate in Zoho Invoice is a proposal the client can accept online. Build it from your item list with options the client can choose, send it from the portal, and the acceptance converts it to an invoice or a deposit request. Keep the estimate short, state what is excluded, and set an expiry date so old quotes do not surface at old prices.

Client Portal in Practice

  • Clients log in to see estimates, invoices, payments and statements.
  • They accept estimates, pay invoices and download receipts without emailing you.
  • You see when an invoice was viewed, which ends the “never received it” conversation.
  • Statements at month end go out automatically to clients with open balances.

Taxes, Currencies and Regions

Zoho Invoice handles sales tax, VAT and GST on invoices with tax rates per item and region, and reports the totals your accountant needs. Multi-currency invoicing lets you bill in the client’s currency with your base currency reporting. For actual tax filing from the system, the step is Zoho Books, which files returns in supported regions.

Invoice for Different Businesses

BusinessHow they use it
Freelance designer or developerEstimates, hourly time billing, card payments
ConsultantMonthly retainers as recurring invoices, expenses rebilled
TradespersonInvoices from the phone on site, deposits before work
Small agencyProject time tracking across a few team members, client portal

Security and Access

Multiple users can be added with roles, so an assistant can raise invoices without seeing reports. Two-factor authentication, audit trails and data export are available, and the data stays yours: everything exports to CSV or migrates to Books when you are ready.

Moving From Spreadsheets or Another Tool

  1. Export customers and open invoices from the old tool or spreadsheet.
  2. Import customers first, then items, then open invoices with their original dates and numbers.
  3. Set the next invoice number to continue the sequence.
  4. Send a short note to clients with the new portal link and payment options.
  5. Keep the old tool read-only for a quarter in case of queries.

Signs You Have Outgrown Invoice

  • Your accountant asks for a trial balance or bank reconciliation.
  • You need to track the bills you owe as well as the invoices you send.
  • You hold stock or buy for resale.
  • You file tax returns and want the figures from the system.
  • You have more than a handful of staff with expenses and projects.
