Zoho Billing is Zoho’s subscription and recurring billing platform (formerly Zoho Subscriptions): plans and add-ons, free trials, proration on upgrades, usage-based and metered billing, automated dunning for failed payments, a hosted checkout and customer portal, and subscription metrics such as MRR and churn. It syncs with Zoho Books for accounting and Zoho CRM for the sales side. Plans are priced per organisation, not per user: Standard about $39 and Premium about $79 per month billed annually, with a custom Enterprise tier. It is included in Zoho One.

Recurring revenue is simple until it is not: a customer upgrades mid-month, a card expires, a plan changes price for new customers only, and the accountant asks what this month’s recognised revenue is. Zoho Billing handles that complexity so Zoho Books only sees clean transactions and Zoho CRM sees who is subscribed to what. This hub explains what it does, who it is for, and how to migrate subscriptions without losing a payment. It is part of the Finance & Operations cluster.

What Zoho Billing Does

  • Plans, add-ons, coupons and trials, with monthly, annual and custom cycles.
  • Proration when customers upgrade, downgrade or change quantity mid-cycle.
  • Usage-based and metered billing: charge by API calls, seats, hours or units consumed.
  • Hosted checkout pages and a customer portal for self-service plan changes and card updates.
  • Dunning: retries and reminder sequences for failed payments, with grace periods.
  • Payment gateways including Stripe, Zoho Payments and regional options.
  • Subscription metrics: MRR, ARR, churn, LTV, cohort analysis on higher plans.
  • Revenue recognition schedules and sync to Zoho Books.
  • Webhooks and APIs for provisioning and in-app actions.

Designing Plans That Do Not Need Rebuilding

  1. Start with two or three plans and one add-on; complexity can be added, but customers on old plans are hard to migrate.
  2. Decide the billing anchor: subscription start date, or a common date for everyone.
  3. Choose proration rules before the first upgrade happens.
  4. Set trial length and what happens when it ends: card required, or convert on request.
  5. Write the dunning sequence: retry schedule, emails, and when access is suspended.
  6. Map every plan and add-on to Books accounts for revenue recognition.

Usage-Based Billing

Metered models bill on what was consumed: records processed, seats active, hours logged. Zoho Billing records usage through its API or imports, aggregates it per cycle, and invoices with tiered or volume pricing. The discipline is on the product side: usage must be reported reliably, with a reconciliation report customers can check, or disputes will follow every invoice.

Dunning Without Losing Customers

  • Retry failed cards on days 1, 3 and 7, not hourly.
  • Email before the card expires, not after it fails.
  • Give the customer a portal link to update the card in one click.
  • Suspend access only after the sequence completes, and say so in the emails.
  • Track recovered revenue; good dunning recovers a large share of involuntary churn.

Migrating Existing Subscriptions

Moving live subscriptions is the risky step. Export customers, plans, next billing dates and card tokens from the old system where the gateway allows token migration; import into Billing with the same next billing dates; run one cycle in parallel comparing charges; then switch the customer portal link and cancel the old system. Zoho Payments and Stripe both support token migration, which avoids asking every customer for a new card.

Common Mistakes

  • Running subscriptions as recurring invoices in Books and losing proration and dunning.
  • Launching with ten plans nobody can explain.
  • No grace period, so a single failed card ends a customer relationship.
  • Usage reported from the product inconsistently, causing invoice disputes.

Hosted Checkout and the Customer Portal

Hosted pages mean a SaaS or membership business can take sign-ups without building checkout: a branded page per plan, card capture through the gateway, and the subscription created on completion. The portal then carries the relationship: customers change plans, add seats, update cards, view invoices and cancel within the rules you set. Both can be styled to your brand and embedded or linked from your site or app.

Revenue Recognition for Subscriptions

  • Annual plans recognised monthly over the term, not at payment.
  • Setup fees recognised on delivery, or over the term, by policy.
  • Usage charges recognised in the period consumed.
  • Refunds and credits reversing the right period.
  • Schedules posted to Zoho Books so the accountant does not rebuild them.

Who Zoho Billing Fits

SaaS and softwarePlans, trials, usage, dunning, metrics and API provisioning
Memberships and clubsRecurring charges, portal self-service, dunning
Agencies with retainersMonthly billing with proration on scope changes
Services with metered usageConsumption-based invoicing with reconciliation

A Thirty-Day Launch

  1. Week one: define plans, add-ons, trial and proration rules; connect the gateway and Books.
  2. Week two: build hosted pages and the portal; set dunning and email templates.
  3. Week three: import existing subscriptions and run a parallel cycle.
  4. Week four: switch sign-up links and the portal, retire the old system, review the first MRR report.

Taxes on Subscriptions

Recurring billing across regions means tax rules per customer location, applied automatically on every renewal. Zoho Billing handles tax rates by region and customer type, and sync to Books carries the tax lines through to returns. Decide early whether prices are tax-inclusive or exclusive, because changing that later means re-communicating prices to every customer.

Questions People Ask About Zoho Billing

Short answers, drawn from the guide above.
