When to Use a Wizard

  • Complex intake processes — a new client onboarding record that requires information to be collected in a specific sequence: business details first, then contact details, then service requirements, then commercial terms. A wizard enforces that sequence and prevents the user from reaching step four before completing steps one through three.
  • Data quality enforcement — when you need all records to be created with a specific set of fields completed, wizards are more effective than required fields alone. A wizard that does not allow the user to advance to the next step until the current step’s fields are populated produces more complete records than a form where users can see all fields and skip any that are not technically required.
  • New team member guidance — wizards make the correct record creation process explicit for new CRM users. A sales rep who has never created a deal record before follows the wizard without needing to know in advance what information is expected at each stage.
  • Multi-team handoff processes — when a record is being created jointly by people from different teams — sales creating the initial record, finance adding commercial terms, legal reviewing contract fields — a wizard can assign different steps to different profiles, so each team sees only the fields relevant to their input.

How to Build a Wizard in Zoho CRM

  • Go to Setup → Modules → select the module → Wizards. Click “Create Wizard”. Wizards can be built on any standard or custom module.
  • Name the wizard and set the trigger. A wizard can be triggered when a new record is created, when an existing record is edited or both. Most wizards trigger on creation — to guide the initial data entry process.
  • Define your steps. Click “Add Step” to create each step in the sequence. Give each step a clear name that tells the user what information they are about to enter: “Business Details”, “Contact Information”, “Service Requirements”. Steps appear in order and cannot be rearranged by the user during record creation.
  • Add fields to each step. For each step, select the fields from the module that belong at that stage of the process. Fields not assigned to a wizard step are still accessible on the standard record view after the wizard is complete — they do not disappear permanently. Wizards control the creation experience, not the full record structure.
  • Set step-level requirements. Each step can have its own mandatory field requirements. Fields marked as required at the step level must be completed before the user can advance to the next step. This is distinct from the module-level required field setting — wizard step requirements only apply during the wizard flow.
  • Assign the wizard to profiles. Each wizard is assigned to one or more user profiles. A user whose profile is assigned the wizard will see the wizard when creating a new record in that module. A user whose profile is not assigned will see the standard record creation form. You can have multiple wizards on the same module — each assigned to a different profile.
  • Test with a sample record. Walk through the entire wizard as a test user before assigning it to your team. Check that all steps appear in the correct order, all required fields are enforced correctly and the record is saved with the expected data after completion.
