How Email Tracking Works in Zoho CRM

Zoho CRM’s email tracking uses a 1×1 pixel image embedded in outgoing emails. When the recipient opens the email and their client loads the image, Zoho CRM records an open event with the timestamp. Click tracking adds unique URLs to links in the email — when a recipient clicks, Zoho logs the click event before redirecting to the destination.

These events appear in the CRM activity feed for the contact or deal the email was sent from, and can trigger Zoho CRM workflow rules.

Email open tracking is not 100% accurate. Email clients that block external images (Apple Mail with Privacy Protection, some corporate Outlook configurations) will not trigger the pixel load even when the email is opened. Click tracking is more reliable than open tracking.

Enabling Email Tracking in Zoho CRM

  1. In Zoho CRM: Settings → Email → Email Tracking → enable Email Open Tracking and Email Click Tracking.
  2. When composing an email from a CRM record, a tracking toggle is available in the compose window — confirm it is enabled for emails you want to track.
  3. For mass emails sent through Zoho CRM’s mass email feature, tracking is enabled by default in the campaign settings.

Using Email Opens to Trigger Workflow Actions

The most valuable use of email tracking is using open and click events as workflow triggers:

  • Proposal opened → create call task: When a prospect opens a proposal email, create a task for the rep to call within the next two hours. The rep reaches out while the proposal is still fresh.
  • Email not opened in 3 days → follow-up task: Trigger a task when an important email shows no open event after 3 days — prompting a different follow-up channel (call or SMS).
  • Link clicked → advance deal stage: When a prospect clicks the pricing page link in your email, automatically advance the deal stage to indicate buying intent.

For proposal emails specifically, combine email tracking with the deal stage — only trigger the call task when the email open happens on a deal in the Proposal Sent stage. This prevents unnecessary tasks for routine emails.

Email Tracking in CRM Reports

Email engagement data is reportable in Zoho CRM:

  • Email Activities report: Filter by status (Opened, Clicked, Bounced, Not Opened) to see engagement across your entire CRM.
  • Per-contact email history: Each contact record shows the full email history with open/click status for each email sent.
  • Mass email campaign analytics: For mass emails, a dedicated analytics view shows open rate, click rate and bounce rate for the campaign as a whole.
