Configuring Email in Zoho CRM: Gmail, Outlook and SMTP Setup

Zoho CRM’s email integration connects your business email account so that every email sent or received is automatically logged against the relevant CRM contact or deal record. This guide covers the setup process for Gmail, Microsoft 365/Outlook, Zoho Mail and custom SMTP — along with the authentication settings that protect your deliverability. Where to Find Email Configuration in Zoho CRM

All email integration settings are in: Settings → Email → Email Integration (personal settings, per user) or Settings → Email → Organisation Email (for shared org-level email settings). Each user in Zoho CRM connects their own individual email account — there is no single shared inbox by default unless you configure SalesInbox for team-level management.

Option 1: Connect Gmail or Google Workspace

  1. In Zoho CRM: Settings → Email → Email Integration → click Configure next to Gmail.
  2. You will be redirected to Google’s OAuth authorisation page. Sign in with your Google Workspace account.
  3. Grant the requested permissions: Zoho CRM needs permission to read, send and manage Gmail messages for two-way sync.
  4. Back in Zoho CRM, enable Auto-associate emails — this links every email to the matching CRM contact automatically.
  5. Set your inbox sync scope: CRM Contacts Only is recommended to avoid personal emails cluttering the CRM activity log.
  6. Configure DKIM: Settings → Email → Email Configuration → set up DKIM for your sending domain.

Option 2: Connect Microsoft 365 or Outlook

  1. Settings → Email → Email Integration → click Configure next to Microsoft 365 / Outlook.
  2. Sign in with your Microsoft 365 account and grant the OAuth permissions requested.
  3. Enable auto-association and set the inbox scope to CRM contacts only.
  4. For organisations using Exchange on-premises rather than Microsoft 365 cloud, use the SMTP/IMAP option below instead — OAuth only applies to Microsoft 365 cloud accounts.

Option 3: Connect Zoho Mail

If your organisation uses Zoho Mail as part of Zoho One, the connection is the simplest of all — Zoho Mail is natively integrated with Zoho CRM within the Zoho ecosystem. In Settings → Email → Email Integration → select Zoho Mail → your Zoho Mail account connects automatically without a separate OAuth flow. DKIM for Zoho Mail is configured through Zoho Mail’s own domain authentication settings.

Option 4: Custom SMTP Server

For businesses using a custom email server, cPanel hosting email, or any provider not covered by the OAuth options above:

  1. Settings → Email → Email Integration → select Other Email Services (SMTP).
  2. Enter your SMTP server address, port (usually 587 for TLS or 465 for SSL), your email address and password.
  3. Zoho CRM will send a test email to verify the connection.
  4. For receiving emails (IMAP sync), also configure the IMAP settings with your server address and port (993 for SSL).

Custom SMTP configurations do not support OAuth — they use your email password directly. If your email provider supports App Passwords (a separate password generated specifically for third-party apps), use that instead of your main account password for better security.

Authentication Settings After Connecting

Regardless of which connection method you use, configure these authentication settings after connecting:

  • SPF: Verify your domain’s SPF record includes Zoho’s sending servers. Check at MXToolbox.com.
  • DKIM: Settings → Email → Email Configuration → enable DKIM signing for your domain and add the provided DNS record.
  • DMARC: Add a DMARC TXT record to your DNS. Minimum: v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com

Yes. Each Zoho CRM user connects their own individual email account in their personal settings. One user can connect a Gmail account while another connects Outlook — all within the same Zoho CRM organisation. Each user’s emails are logged against their own CRM activities and visible to other team members on shared records.
Only emails to and from contacts that exist in Zoho CRM are logged automatically when auto-association is enabled. Emails to addresses not in Zoho CRM are not logged. You can also set the scope to CRM contacts only to ensure personal emails to non-CRM contacts are never logged.
OAuth (used for Gmail and Microsoft 365) authorises Zoho CRM to access your email account using a secure token — your password is never shared with Zoho. SMTP uses your email server credentials directly. OAuth is more secure and recommended wherever available. SMTP is used for email providers that do not support OAuth, such as custom hosting email or older Exchange servers.
Yes, but with volume considerations. Zoho CRM allows mass emails through the Mass Email feature. Your email provider’s sending limits apply — Gmail allows approximately 2,000 emails per day, Microsoft 365 allows up to 10,000 per day. For higher volume campaigns, Zoho Campaigns (email marketing tool) is more appropriate than Zoho CRM’s mass email feature.
