Every submission becomes a clean CRM record, with nothing retyped.
Connecting Zoho Forms to Zoho CRM means every submission creates or updates a CRM record automatically. No one copies details from an email, nothing is mistyped and every lead arrives with its source recorded. This guide covers what the integration can do, how to set it up, how field mapping works and how to fix the problems that most often stop records from being created. It is part of our Zoho Forms guide.
In Zoho Forms, open the form's Integrations, choose Zoho CRM, pick the module and layout, then map each form field to a CRM field, including every mandatory CRM field. Test with a real submission. To update existing records instead of creating duplicates, add a Zoho CRM field to the form to look up the record first.
| Capability | What it means | Typical use |
|---|---|---|
| Create records | Each submission creates a record in the CRM module you choose | New leads from enquiry and quote forms |
| Update existing records | A Zoho CRM lookup field finds the record and the form updates it | Customers updating their details or completing onboarding information |
| Approval before sync | Submissions wait for approval before they reach CRM | Applications or requests that need checking first |
| Prefilled forms from CRM | Send a form from a CRM record with known details filled in | Feedback, renewal or onboarding forms for existing customers |
| Module | Use it when | Example forms |
|---|---|---|
| Leads | The person is new and not yet qualified | Enquiry, quote, demo and guide download forms |
| Contacts | The person is already a customer or qualified contact | Onboarding, update and feedback forms |
| Deals | A specific opportunity should be created | Detailed project briefs from qualified prospects |
| Custom module | The data does not fit a standard module | Applications, service requests, registrations |
If you are unsure, start with Leads for public forms. Sales can convert qualified leads into contacts, accounts and deals in one step.
Open the form in Zoho Forms and go to its integration settings, then choose Zoho CRM.
Authorize your Zoho CRM account if this is the first integration.
Choose the module, such as Leads, Contacts or a custom module, and the layout.
Map each form field to the matching CRM field, starting with every mandatory CRM field.
Map a hidden or fixed value to Lead Source, such as the form name, so reports show where leads came from.
Save the integration and submit a test entry, then open the new record in CRM and check every field.
Zoho's Forms integration help shows the current screens.
| Form field | Map to CRM field type | Watch out for |
|---|---|---|
| Single line text | Single line text | Length limits on the CRM field |
| Use validation on the form | ||
| Phone | Phone | A consistent format with country code |
| Dropdown or radio | Picklist | Values must match the CRM picklist exactly |
| Date | Date | Date format and time zone |
| Number or currency | Number or currency | No text or symbols in the value |
| Multi-line text | Multi-line text or Description | Very long answers on short CRM fields |
By default, each submission creates a new record. When the person may already be in your CRM, such as an existing customer filling in an onboarding or update form, add a Zoho CRM field to the form. It searches CRM records using a field you choose, such as email, and maps the found record's details into the form. When the form is submitted, the existing record is updated instead of a new one being created.
For new-lead forms, keep CRM's own duplicate checking and assignment rules in place, and review duplicates regularly in the first weeks after launch.
Some forms should not go straight into CRM, such as partner applications, account change requests or job applications. With approvals turned on, submissions wait for a reviewer, and only approved entries are pushed to CRM. This keeps unqualified or incomplete entries out of your sales data.
The integration also works in the other direction. From Zoho CRM, you can send a form to a customer with details such as name, company and account number already filled in. They only complete the missing information, and the response updates their record. This works well for onboarding questionnaires, satisfaction surveys and annual renewals.
Hidden fields capture information visitors never see, such as the page the form was on, the campaign name or the UTM source from an ad link. Zoho Forms can fill hidden fields from URL parameters, so a link like your form URL with a campaign parameter records the campaign automatically. Map these hidden fields to CRM fields such as Lead Source and Campaign, and your reports will show exactly which ads, emails and pages produce leads.
| Problem | Likely cause | Fix |
|---|---|---|
| No record created | A mandatory CRM field is not mapped | Map every mandatory field, or give it a default value |
| Record created with blanks | Fields not mapped, or mapped to the wrong CRM field | Review the mapping against a test submission |
| Picklist field empty | Form value does not match any CRM picklist value | Match dropdown values exactly, including spelling and case |
| Push fails intermittently | Value too long or wrong type for the CRM field | Add validation or character limits on the form |
| Duplicates building up | Every submission creates a new record | Use a CRM lookup field to update existing records, and review duplicate rules |
| Integration stopped working | The connecting user's access changed | Reauthorize with an account that still has permission |
Open the form in Zoho Forms, go to its integrations, choose Zoho CRM, select the module and layout, map the form fields to CRM fields including every mandatory one, then save and test with a real submission.
Yes. Add a Zoho CRM field to the form to look up an existing record, for example by email. When the form is submitted, the matching record is updated instead of a new one being created.
The most common causes are an unmapped mandatory CRM field, dropdown values that do not match CRM picklist values, values that are too long or the wrong type, and the connecting user losing access.
Yes. From Zoho CRM you can send a form to a customer with known details already filled in, and their response updates the CRM record.
Yes. Zoho Forms can send entries for approval first, so only approved submissions are pushed to Zoho CRM.
A form's CRM integration is set up for a chosen module. For more complex routing, such as creating a lead and a related record, use CRM workflows after the record is created, or connect the steps with Zoho Flow.
It can, because each submission creates a new record by default. Use a Zoho CRM lookup field on forms where people may already exist, keep CRM duplicate rules active and review duplicates regularly after launch.
