Zoho CRM Gmail Integration: Connect Your Email to Your CRM

Connecting Gmail to Zoho CRM means every email you send or receive with a CRM contact is automatically logged against their record — without copying, BCCing or manually adding activities. You can compose and send Gmail emails from within a Zoho CRM contact or deal record. Replies arrive in your Gmail inbox and are simultaneously visible in the CRM conversation history. Two Ways to Connect Gmail to Zoho CRM

Option 1: Gmail Integration via Zoho CRM Settings (Recommended)

The primary Gmail integration syncs emails bidirectionally between your Gmail account and Zoho CRM, with automatic association of emails to CRM contact and deal records.

  • In Zoho CRM: click your profile picture Settings Email Email Integration click Configure next to Gmail.
  • Authorise via Google OAuth: you will be redirected to Google’s authorisation page. Sign in with your Google Workspace account and grant Zoho CRM the permissions listed. Zoho requests access to read, send and manage Gmail messages — standard for two-way email sync.
  • Enable auto-association: in the Gmail integration settings, enable “Auto-associate emails to CRM records.” With this on, every email sent to or received from an email address that matches a Zoho CRM contact is automatically linked to that contact’s record. Without it, emails must be manually associated.
  • Configure the inbox sync scope: choose whether to sync all emails or only emails to/from CRM contacts. “CRM contacts only” is strongly recommended — syncing all Gmail to Zoho CRM creates noise from non-business emails.
  • Test: send an email from Zoho CRM to a known contact’s email address. Open the contact’s record and check that the email appears in the Email section of the activity timeline.

Option 2: Zoho CRM for Gmail Chrome Extension

The Zoho CRM for Gmail Chrome extension adds a Zoho CRM panel inside the Gmail interface — so you can view and update CRM records without leaving your inbox.

  • Search “Zoho CRM for Gmail” in the Chrome Web Store. Click “Add to Chrome” and confirm installation.
  • A Zoho CRM icon appears in the Gmail interface. When you open an email from a sender who exists in Zoho CRM, the extension loads their CRM record in the sidebar automatically.
  • From the Gmail sidebar, you can: view the contact’s full CRM record, add a note, create a follow-up task, log the email as a CRM activity, or create a new deal linked to this contact — all without leaving Gmail.

The Chrome extension and the Settings-based integration are complementary, not alternatives. Most users benefit from having both: the Settings integration provides the automated two-way email sync, and the Chrome extension provides in-Gmail access to CRM record management.

Using Email Workflows After Gmail Is Connected

Once Gmail is connected, Zoho CRM workflow rules gain access to email events as triggers. Useful email-triggered workflows:

  • Inbound email creates task: when a new inbound email is received from a lead with no recent activity, automatically create a “Reply to inbound email” task for the lead owner due within two hours.
  • Email open triggers follow-up: Zoho CRM’s email tracking feature (separate to the Gmail integration) logs when a recipient opens a sent email. A workflow can trigger a task for the rep when a key email is opened — “prospect opened proposal email” — prompting a timely call.
  • No reply after N days: a scheduled workflow checks leads and deals for sent emails with no reply in five days and creates a follow-up task automatically.
