Right now, your business is losing money.

Not because your product isn’t good. Not because your team isn’t working hard.

Because your CRM is showing you a version of reality that isn’t real — and nobody has noticed yet.

In this post:

✓  The true story of a business that lost $38,000 in three weeks — and how their CRM had the answer the entire time

✓  Why 72% of one company’s pipeline was fiction — and what happened when they finally faced it

✓  The difference between automation that looks good in a demo and the kind that actually fixes your business

✓  What’s coming on June 12th — and why the first 48 hours matter

The $38,000 phone call

A friend of mine runs a roofing business in New York. A real operation — crews, equipment, serious ad spend. A few years back, during his busiest season, he called me three times in ten minutes at 9pm.

He was panicking. Leads were coming in but the closing rate didn’t make sense. He was spending more on ads than ever and somehow converting less.

“Did you check your CRM?” I asked.

“No,” he said. “I don’t really know how to use it. My office handles it.”

I logged in remotely and pulled one report. It took about 90 seconds.

35% of his recent leads were marked Closed Lost for the same reason: out of area. Meaning the people filling out his forms weren’t even in the region he could service.

I got his marketer on a call. Asked him to show me the geographic targeting on the ads.

It was set to: the entire United States.

His business covers one part of New York.

The fix took three minutes. By the time we found it, $38,000 had already been spent on leads he could never close.

The worst part? The CRM knew. Every single out-of-area lead was logged, categorized, and sitting there. The data existed. Nobody had looked at it.

That’s not a CRM failure. That’s a systems failure. And it’s far more common than people want to admit.

The gap nobody talks about

Here’s a question worth sitting with: how much of what’s in your CRM right now is actually true?

I don’t mean “is the data entry correct.” I mean — are the deals in your pipeline real? Are the leads being followed up the way you think they are? Are the stages in your deals based on actual evidence, or on how optimistic your salesperson was feeling when they moved it?

I’ve been inside hundreds of CRMs across every industry you can imagine. The pattern is almost always the same:

The system shows one reality. The truth is something else entirely.

Sometimes the gap is small — a few deals that should be Closed Lost but are sitting in “negotiation.” Sometimes it’s enormous. I worked with one company where, after nine months of validating their pipeline deal by deal, 72% of their forecasted revenue turned out to be fiction. Deals that had been dead for years, still living in the system because nobody wanted to mark them lost.

They didn’t have a bad CRM. They had a CRM built around hope instead of architecture.

Why automation isn’t the buzzword you think it is

When most people hear “CRM automation,” they think of things like: send a welcome email when a lead fills out a form. Create a task when a deal moves to a new stage. Assign a lead to a rep based on territory.

Those things are fine. They’re also nowhere near enough.

Real automation — the kind that actually closes the gap between what your CRM shows and what’s really happening — is about building systems that don’t depend on humans doing the right thing at the right time every single time.

It’s about speed-to-lead that fires in under five minutes because that’s the window where a prospect is still paying attention. Lead scoring that routes your best opportunities to your best people. Pipeline stages that require evidence to advance, not just optimism. And yes — reports that would have flagged $38,000 worth of out-of-area leads before they became $38,000 of waste.

Something is coming on June 12th

I’ve spent the last two years building and documenting the automations that actually work in real companies — not in demos, not in ideal conditions, but in businesses with real pressure, imperfect data, and salespeople who push back.

On June 12th, I’m releasing a book. It covers the 20 CRM automations that move the needle — the ones we implement again and again for clients across industries, and the ones that give you something every business owner needs: the ability to actually trust your own data.

No IT department required. No enterprise budget. Just clear thinking and systems built for how businesses actually work.

If any of this sounds familiar — the dashboard that looks fine but feels off, the pipeline you’re not sure you believe, the leads that somehow never get followed up — this book was written for you.
